How can I be sure to get IT to catch every phrase?

I typed for 36 different doctors. I have a file for each with their reports in it. I compile a glossary for each doctor at least twice a week, but I am still coming across phrases that are getting missed in the compilations. Which settings should I be using so that IT is sure to catch any phrase that is repeated more than once?
